1. Introduction
This Privacy Policy describes how AI Elite Mastery Sdn Bhd (Reg. No. 202101038127) (“we”, “us”, “our”) collects, uses, discloses, and protects your personal data when you visit www.aielitegroup.com, enquire about our services, or enrol in any of our EliteClass programs.
We comply with the Personal Data Protection Act 2010 (PDPA) of Malaysia. By using our website or services, you confirm that you have read and understood this policy.
2. What personal data we collect
We only collect what we need to serve you well. The categories are:
- Contact details — your name, email address, phone number, and any information you choose to include in our contact or enquiry form.
- Enrolment details — when you join an EliteClass: your full name, billing details, the program enrolled in, cohort dates, and any course-related preferences (e.g. dietary needs for in-person events).
- Payment information — handled by our authorised payment processors. We do not store full credit card numbers, CVVs, or bank credentials on our systems.
- Communications — emails, messages, and call records when you correspond with us, retained for service quality and reference.
- Usage data — anonymised information about how you interact with our website, such as pages viewed, time on page, and approximate location (city-level), collected through privacy-friendly analytics.
- Cookies — small data files used to keep the site working correctly (see section 7 below).
3. Why we collect it
We process your personal data for the following purposes:
- To respond to your enquiries and provide customer support.
- To process enrolments, deliver EliteClass programs, and grant you access to materials.
- To process payments, issue invoices and receipts, and meet our accounting and tax obligations.
- To send you transactional notices (booking confirmations, schedule changes, account updates).
- To send marketing communications — only with your consent (see section 5).
- To improve our website, services, and student experience.
- To prevent fraud, abuse, and to comply with applicable laws.
4. The legal basis for processing your data
We rely on the following grounds:
- Consent— for marketing communications and any optional data you choose to provide.
- Performance of a contract— to deliver the EliteClass you have purchased.
- Legal obligation— to keep accounting records and respond to lawful requests.
- Legitimate interests— to operate, improve, and protect our business, provided this does not override your rights.
5. Marketing communications
From time to time we may send you marketing emails, newsletters, or promotional updates about new EliteClass cohorts, free resources, or events. We will only do this if you have opted in— for example, by ticking a marketing consent box on our contact form, signing up to a newsletter, or confirming preferences during enrolment.
You can opt out at any time by clicking the unsubscribe link at the bottom of any marketing email, or by emailing contact@aielitegroup.com. Opting out of marketing does not affect transactional emails (such as booking confirmations) which we send to fulfil our obligations to you.
8. How long we keep your data
We keep your personal data only as long as we need it:
- Enquiries that don’t lead to enrolment— up to 24 months from the last contact, after which we delete or anonymise your data.
- Enrolment records and invoices— for at least 7 years to comply with Malaysian tax and accounting obligations.
- Marketing preferences— until you opt out, after which we retain only the minimum needed to honour your opt-out.
9. How we protect your data
We use industry-standard safeguards to protect your information, including encrypted transport (HTTPS), access controls, and reputable infrastructure providers. No system is 100% secure, but we work to reduce risk and to respond quickly if anything were ever to go wrong.
10. Your rights under PDPA
You have the following rights regarding your personal data:
- Right of access— ask for a copy of the personal data we hold about you.
- Right to correction— ask us to correct inaccurate or incomplete data.
- Right to limit processing— ask us to stop or restrict processing in certain circumstances.
- Right to withdraw consent— for any processing based on your consent (such as marketing).
- Right to lodge a complaint— with the Department of Personal Data Protection Malaysia (www.pdp.gov.my) if you believe we have not handled your data properly.
To exercise any of these rights, please email contact@aielitegroup.com. We will respond within 21 working days.
11. International transfers
Some of our service providers (e.g. Notion, Vercel) may store and process data outside Malaysia. Where this happens, we take reasonable steps to ensure your data is protected to a standard comparable to that required by Malaysian law, including by relying on the providers’ published security and privacy commitments.
12. Children
Our services are intended for adults aged 18 and above. We do not knowingly collect personal data from anyone under 18 without verifiable parental consent. If you believe a child has provided us with personal data, please contact us and we will take prompt steps to delete it.
13. Changes to this policy
We may update this policy from time to time to reflect changes in our practices, services, or legal obligations. We will post the updated version on this page and revise the “Last updated” date. For material changes, we will take reasonable steps to notify you in advance — for example, by email or a prominent notice on our website.
